How much does Expensify cost?
Expensify Collect costs $5 per member per month with no annual commitment, and it includes the QuickBooks Online and Xero connections. Control costs $9 per member per month when you commit annually and use the Expensify Card for most of your spend. Without the card, Control costs about $18 a member on an annual term and up to $36 month to month, based on third-party listings and Expensify's help articles. Control adds QuickBooks Desktop, NetSuite and Sage Intacct.
Workspaces created before April 2025 can sit on older plan structures, and Expensify prices change often. Read use.expensify.com/pricing before you commit, and expect the numbers on comparison sites to be stale.
Does Expensify work with QuickBooks Online?
Yes. Collect connects to QuickBooks Online, so approved expenses export as expenses, checks or bills depending on how you configure the workspace. Expensify is built around expense reports, so each person submits a report and someone approves it before it exports.
That is the right shape for reimbursing employees. It is a heavier shape when the only goal is getting company-card and vendor receipts into the ledger with the right account, class and customer, matched to the bank transaction that is already in QBO. Our Expensify alternative page covers where a bookkeeper workflow differs.

What does Expensify cost for a bookkeeper with many clients?
Expensify prices per member, so cost depends on how many people at each client submit receipts. Taking Collect at face value, one submitter per client at $5 a month is $60 a year per client, so 25 clients cost 25 x $60 = $1,500 a year. Three submitters per client triples that to $4,500. ReceiptQBO Bookkeeper yearly costs $149 x 12 = $1,788 a year for up to 25 companies and 2,500 pooled documents a month, with no per-submitter fee.
With one submitter per client, Collect is slightly cheaper than ReceiptQBO on the subscription. Once several people upload, or you need Control, the flat plan wins. And you still need to confirm that a separate workspace per client is how you want to manage 25 books.
For one company the answer flips. Two Collect members cost 2 x $5 x 12 = $120 a year, far below ReceiptQBO Company at $24 a month billed yearly, which is $288. Expensify is the cheaper tool for a single business that wants reimbursement flows, and we say so on purpose.
What do you get for the extra money with a practice plan?
A practice plan buys time on the review side. ReceiptQBO codes each receipt using the connected client company's own accounts, classes, locations and customers, applies vendor rules per client, and looks for the matching bank or card transaction before posting. A matched receipt attaches to that transaction, and an unmatched one creates an Expense or Bill with the image.
Preparers and Reviewers share one queue across companies, so a reviewer approves uncertain items for 20 clients in one place. Missing-receipt reminders go to the client weekly. See how to match receipts to bank transactions for the matching logic.
If your clients need mileage, per diems, approval chains or reimbursements, Expensify is built for that and ReceiptQBO is not. Price the hours you spend coding and chasing, not only the subscription.

Which plan should you pick before paying for a year?
Count the people who submit receipts at each client, whether anyone needs reimbursement, and whether the company will use the Expensify Card. If the answer to the last two is no, Control at $9 is out of reach and the real comparison is Collect against a flat practice plan.
Run one real week of a client's receipts through each tool. For the other common options, read our Dext pricing breakdown and the Zoho Expense pricing guide.
Once receipts are clean in the ledger, the next job is often collections. Practices that run automated invoice follow-up for overdue client payments can put the saved review time into getting their own fees paid on time.
