Where the scanning actually happens
Scanning is the easy part, and it does not need special hardware. Most receipts get captured in one of three places:
- A phone camera. The crew lead snaps the lumber yard receipt in the truck before it fades or ends up under a seat. HEIC photos from an iPhone are accepted as they are, no conversion needed.
- A desk scanner or copier. The office manager feeds a month of paper receipts through the copier and gets one PDF or a folder of images.
- The inbox. Many receipts are never paper at all. Software subscriptions, supply orders and parking apps arrive as email.
ReceiptQBO takes all three. Upload JPG, PNG, HEIC or PDF files one by one or in batches of up to 200 files. Forward emails to the company's own address, such as [email protected]. Or send the client a no-login upload link so they can add photos straight from the phone browser.
The point is that whoever has the receipt sends it the way that is easiest for them. The work of turning it into a clean QuickBooks entry happens after it arrives, not on the job site.
What gets pulled off a scanned receipt
A scan is only useful if what is on it ends up in the right fields. The AI model reads the vendor, date, subtotal, sales tax, tip, total, currency, payment method and the last 4 digits of the card. When the receipt lists items, the line items come along too, so a mixed hardware store run can be split later if needed.
It also decides whether the scan is a receipt, a bill or a credit note. A receipt from a gas station is a paid expense. A supplier invoice with net 30 terms is a bill. A return slip is a credit. Treating all three as the same thing is how books drift.
Scans are rarely perfect. Thermal paper fades, phones catch glare, and folded receipts lose a corner. That is why each field gets its own confidence score. A clear total with a smudged date is handled differently from a receipt that is fully readable, and the uncertain field is the one flagged when it reaches review.

From a scan to a coded QuickBooks Online entry
QuickBooks Online can store a receipt image, but the image does not code itself. ReceiptQBO fills in the parts that take time: the expense account, class, location, customer or project, billable flag and memo, chosen from the client's own QuickBooks lists that sync through the connection.
Vendor rules come first. If you have told it that Home Depot purchases for this company go to Job Materials and are billable to the project on the memo line, that rule beats any guess. Corrections you make in review become rules with one click, so the second month needs fewer corrections than the first.
Then confidence decides. At or above the client threshold (90 percent by default) the receipt is approved and posted automatically. Below it, the receipt waits in a single Review queue, lowest confidence first. Repeat files, and receipts with the same vendor and amount within 3 days, are flagged as possible duplicates and held back.
A full walk through of each stage is on the how it works page.
Attaching scans to bank charges instead of doubling them
Here is the mistake that makes many scanning setups worse than no setup at all. The card charge for 312.40 dollars at the supply house is already in QuickBooks from the bank feed. A receipt scanner that creates a new expense for the same purchase doubles the cost, and someone has to find and delete it later.
ReceiptQBO matches each scanned receipt by amount within a short date window to bank and card transactions already in QuickBooks and to statements you import as CSV, OFX, QFX or QBO Web Connect files. When it finds the match, the image is attached to the existing transaction. A new Expense or Bill is created only when no match exists, for example a cash purchase or a bill that has not been paid yet.
Bank lines that never got a scan become the missing receipts list. You can read more on the match receipts to bank transactions page.

Getting clients to actually send their scans
The hardest part of scanning receipts into QuickBooks Online for someone else is not the scanning. It is getting the receipts at all. Clients mean to send them and then the month ends.
The Bookkeeper and Firm plans send a weekly missing receipt reminder to the client contact on the weekday you pick. It lists the charges that still have no receipt and includes the upload link, so the client can tap the link, photograph the receipt and be done in under a minute. There is also a send-now button for the week before close.
For a single business on the Company plan, up to 5 people can forward receipts to the company address, so the owner, the office manager and a couple of field leads can all send their own.
If your receipts mostly arrive as email rather than paper, the email receipts to QuickBooks page covers forwarding and Gmail filters in detail.
What it costs and how to try it
Plans are monthly subscriptions in US dollars, and yearly billing is half price.
- Company, 49 dollars a month or 24 a month billed yearly. One QuickBooks Online company, 300 documents a month, up to 5 people forwarding receipts.
- Bookkeeper, 299 dollars a month or 149 billed yearly. Up to 25 client companies and 2,500 documents a month pooled, with reminders and the client dashboard.
- Firm, 899 dollars a month or 449 billed yearly. Up to 100 companies, 10,000 documents pooled, approver workflow and audit export.
A document is one scanned file or one forwarded receipt. If a busy month goes over the limit, extra documents wait in the queue rather than being dropped, and moving up a plan charges only the difference for the rest of the period. Pick the plan by how many companies you scan for, not by how many people send receipts.
To see how your own receipts read before choosing, upload one receipt on the QuickBooks receipt scanner home page. No account is needed, and the result shows the vendor, date, total and the proposed QuickBooks account.
How to scan receipts into QuickBooks Online with ReceiptQBO
- Connect the company. Sign in through the Intuit screen so ReceiptQBO can sync the accounts, classes, locations and customers of that QuickBooks Online company.
- Capture the receipt. Take a phone photo or scan to JPG, PNG, HEIC or PDF. Batches of up to 200 files are fine.
- Send it in. Upload the files, forward them to the company address, or use the no-login client link from any phone.
- Check the review queue. Receipts that meet the confidence threshold post on their own. Fix the few that wait and save any fix as a vendor rule.
- Confirm in QuickBooks. Open the bank transaction or new Expense in QuickBooks Online and see the coded entry with the receipt image attached.
