ReceiptQBO

Collect, store, find, prove

Receipt management software for the whole life of a receipt

Receipt management software keeps every receipt organized from the moment it arrives until it is no longer needed. ReceiptQBO collects receipts per client, reads and codes them, attaches the image to the matching QuickBooks Online transaction, records each step in an audit trail, and exports the records to Excel or CSV when you need them.

Receipts pulled from an envelope of saved paper receipts before they are filed

A receipt has a life, not just a scan

Scanning is one moment. Managing a receipt is everything around it: getting it from the client, deciding what it is, filing it where it belongs, finding it again in eight months, proving who touched it, and keeping it for as long as the client may need it.

Many practices handle each stage with a different tool. Email for collection, a shared drive for storage, a spreadsheet for tracking, and QuickBooks for the books. Every handoff is a place where a receipt can be lost, saved twice, or saved with the wrong name.

ReceiptQBO treats these stages as one flow tied to QuickBooks Online. A receipt comes in through one inbox, gets read and coded, is posted or matched in QuickBooks with the image attached, and carries its full history the whole way. The rest of this page walks through each stage and what to expect from good receipt management software at that point.

Collect from every channel into one inbox

Clients send receipts however they like, and fighting that habit rarely works. Good receipt management meets them where they are.

  • Email forwarding. Each client company has its own address, such as [email protected]. Receipts sent as attachments are read, and receipts written in the email body are read from the text.
  • Automatic Gmail forwarding. A Gmail or Google Workspace filter sends vendor receipts on without anyone remembering. Our guide on a Gmail filter to forward receipts shows the setup.
  • Upload. JPG, PNG, HEIC or PDF, one at a time or in batches of up to 200 files.
  • No-login upload link for clients who just want to snap a photo.

Whatever the channel, each document lands in the inbox for the right client. Nothing lives in a personal mailbox or on someone's desktop, and nobody has to rename files or sort them into folders by month.

Each receipt is coded to the client's own QuickBooks Online account, class, location and project.

Store the receipt where the transaction lives

A separate archive of receipt images is only half useful. When you look at an expense in QuickBooks Online, you want the proof right there, not in another system you have to search.

ReceiptQBO posts each approved receipt as an Expense (Purchase) or a Bill in QuickBooks Online with the image attached. If the charge already exists from the bank feed, the receipt is attached to that existing transaction instead of creating a new one. The coding is done against the client's own accounts, classes, locations and customers, with billable flags and memos where needed.

The result is that the books and the evidence stay together. A reviewer, an auditor or the client can open the transaction in QuickBooks and see the receipt behind it. You can read more about the posting step on the page about how we scan receipts into QuickBooks Online.

Find any receipt and know what happened to it

The real test of receipt management comes months later. A client asks about a charge from March. A lender wants proof of an equipment purchase. A tax preparer needs every meal receipt for the year.

Because the image is attached in QuickBooks Online, you can find a receipt from the transaction itself, using the search and reports you already know there. Inside ReceiptQBO, each client's documents stay in that client's inbox, with the fields that were read from each one.

The audit trail answers the second question: what happened to it. Every document records when it was received, when it was read, which vendor rule applied, who edited a field and what changed, who approved it, and when it was posted. On the Firm plan, the audit log can be exported along with a monthly reconciliation report. When someone asks why a receipt landed in a given account, you can show the history instead of reconstructing it.

The receipt is attached to the bank or card line already in QuickBooks, so nothing is entered twice.

Retain and export on your terms

Retention rules for business records vary by situation, and you or your client decide how long to keep them. What receipt management software should do is make keeping them easy and getting them out simple.

Since each posted receipt sits attached to its transaction in the client's own QuickBooks Online company, the record stays with the books the client owns. It does not depend on one person's folder structure.

For work outside QuickBooks, ReceiptQBO exports document data to Excel (XLSX), CSV, and a QuickBooks bill import CSV. That covers year-end packages, spreadsheets for a tax preparer, or a bulk bill import into a company you are setting up.

Security sits under all of it. The connection uses the Intuit sign-in, so we never see QuickBooks passwords. Tokens and files are encrypted at rest, traffic uses TLS, access is role-based, and disconnecting a company revokes its tokens. Details are on the security page.

Who it suits

ReceiptQBO fits any business or practice that keeps its books in QuickBooks Online and wants receipts handled as part of those books, not beside them.

A single company uses the Company plan at $49 a month for one QuickBooks Online company, up to 300 documents a month and up to 5 people forwarding receipts. A bookkeeping practice uses the Bookkeeper plan for up to 25 clients, with a client dashboard, reminders and team roles. Larger firms use the Firm plan for up to 100 clients, with an approver step, audit export and a monthly close checklist. If you mostly need to know which charges still lack a receipt, see our page on receipt tracking software.

Moving an existing practice over does not require a big cutover. Connect one client, give them the forwarding address and upload link, and let new receipts flow through the inbox for a month. Older receipts can stay where they are. Once the new flow feels routine, add the next group of clients.

The whole point is that a receipt is handled once, in one place, and stays findable next to the books for as long as the client keeps them.

How a receipt moves through ReceiptQBO

  1. Collect. The receipt arrives by email, Gmail filter, upload or the no-login link, into the right client inbox.
  2. Read and code. The AI model reads the fields and codes them to the client's own QuickBooks Online lists, with vendor rules on top.
  3. Review or auto-approve. Confident documents post automatically. The rest wait in one Review queue.
  4. Post and attach. An Expense or Bill is created, or the receipt is attached to the matching bank transaction.
  5. Keep the record. The image stays on the transaction in QuickBooks and every step stays in the audit trail.
