Why an app download is the wrong first step
Ask a busy client to install an app and you have created a small project for them. Find it in the store, remember a password, allow the camera, sign in again after the next update. Some will do it. Many will put it off, and their receipts will keep piling up in the glove box.
For a bookkeeper, every client who does not finish setup is a client you will chase by email at month end. For a business owner, every crew member who never installed the app is a set of receipts that never arrive.
ReceiptQBO skips the install. Every phone already has two tools that work well for receipts: a web browser with camera access, and a mail app. We use both. There is nothing for the client to download and no account for them to create, which means the first receipt can arrive the same day you send the link.
Snap a photo through the upload link
Each client company in ReceiptQBO has a no-login upload link. Opened on a phone, it shows a simple page with one clear action. Tap it, and the phone offers the camera or the photo library. Take the picture, confirm, and the receipt is on its way.
Behind that page, the receipt joins the same flow as everything else. The AI model reads vendor, date, subtotal, sales tax, tip, total and payment method, codes it to the client's own QuickBooks Online accounts, and either posts it automatically or places it in review if it is unsure. Photos from iPhones arrive as HEIC and are accepted as they are, with no conversion step.
The same link is included in every weekly missing receipt reminder, next to the list of charges that still need a receipt. A client reading the reminder on a phone can answer it right there, one photo at a time, without switching to another app.

Forward from any phone mail app
Many receipts never exist on paper. Hotel folios, software subscriptions, online supply orders and fuel apps all send receipts by email. On a phone, forwarding that email is two taps.
Every client company has its own forwarding address, such as henderson-7k2p@in.receiptqbo.com. Save it as a contact on the phone, and forwarding a receipt from Apple Mail, Gmail or Outlook takes seconds. If the email has an attachment, the attachment is read. If the receipt is written in the email body, the body is read.
For receipts that always come from the same senders, a Gmail or Google Workspace filter can forward them automatically, so nobody has to remember at all. The guide on how to email receipts to QuickBooks covers the setup step by step.
Forwarding also suits staff who travel. A hotel or airline receipt can be sent on from the airport gate, long before anyone is back at a desk.
Built for teams on QuickBooks Online
Consumer receipt apps are designed for one person keeping track of their own spending. They export a list, or a folder of images, and leave the accounting to you.
ReceiptQBO is designed for a business that keeps its books in QuickBooks Online, and for the bookkeepers who serve those businesses. On the Company plan, up to 5 people can send receipts into one QuickBooks Online company, which suits an owner, an office manager and a few field staff. On the Bookkeeper and Firm plans, every client company gets its own link and address, and the practice works all of them from one review queue.
Receipts are coded to the real chart of accounts, class, location and customer or project, and posted as an Expense or a Bill with the image attached. If the charge is already in QuickBooks from the bank feed, the receipt is attached to it instead of creating a second expense. For crews that buy materials on the road, see our page for construction companies.

How it compares with consumer receipt apps
Consumer apps do a good job of what they are made for: personal budgets, expense reports for one employee, or saving a warranty receipt. Where they fall short is the step after capture, when a receipt has to become a correct entry in a company's books.
QuickBooks Online also has its own receipt capture through its mobile app, upload and a forwarding email address per company, and it matches receipts to bank feed transactions one company at a time. That works well for a single business doing its own books. ReceiptQBO adds per-field confidence, vendor rules that override the AI, a duplicate check, and for practices a single queue across many client companies. The roundup of receipt scanner apps for QuickBooks Online compares the options in more detail.
The short version: pick a consumer app for personal tracking, and a QuickBooks Online receipt inbox when the goal is clean company books.
Getting a team started in one afternoon
Because there is nothing to install, rollout is mostly sending two things to each person: the upload link and the forwarding address. A simple way is to pin both in your team chat or save them in the phone contacts of each crew member.
Give people one rule that is easy to remember: snap the receipt before you leave the counter, or forward the email before you close it. Receipts captured the same day are sharper, easier to read and easier to match. If a receipt slips through, the missing list will show it, and the weekly reminder will bring it back to their phone.
Before connecting anyone, you can see the reading for yourself. On the home page of our QuickBooks receipt scanner, upload one receipt without an account and see the vendor, date, total and proposed QuickBooks account. Plans start at $49 a month, or $24 a month billed yearly, for one QuickBooks Online company. Practice plans add more client companies and a shared review queue.
How to capture receipts from a phone with no app
- Open the upload link. Tap the client upload link from a reminder email or a saved bookmark in the phone browser.
- Take the photo. Choose the camera, frame the whole receipt in good light, and confirm.
- Or forward the email. For emailed receipts, forward the message to the company receipt address from any mail app.
- Let it read and code. The receipt is read, coded to the QuickBooks Online accounts and matched to the bank charge.
- Review what needs a look. Anything below the confidence threshold waits in the Review queue for a quick check.
