Best receipt scanner for QuickBooks Online, compared for bookkeepers

The best receipt scanner for QuickBooks Online depends on how many companies you keep and which ledgers you use. Built-in QuickBooks capture suits one company with light volume. Dext and AutoEntry suit practices on several ledgers. Hubdoc suits Xero-heavy firms. ReceiptQBO suits practices that work only in QuickBooks Online.

The criteria that matter to a bookkeeping practice

Most "best app" lists rank receipt scanners by how nice the phone camera screen looks. That is the least important part for a bookkeeper. The receipt has to end up in the right QuickBooks Online company, on the right account, attached to the right bank line, with a clear record of who approved it. Here are the criteria we suggest you judge every tool on.

  • Ledger focus. Does the tool serve only QuickBooks Online, or many ledgers? Broad tools fit mixed practices. Focused tools tend to go deeper on one ledger.
  • Multi-client workflow. Can a reviewer see work from every client in one place, or must they open each company separately?
  • Coding to the client's own lists. Does it use each client's chart of accounts, classes and locations, or a generic category?
  • Bank match and duplicates. Does it attach receipts to existing feed transactions, and does it stop the same receipt from posting twice?
  • Client chasing. Can it remind clients about charges with no receipt?
  • Pricing model. Flat subscription, per client, or credits per document.

We wrote this guide as the team behind one of the tools below, so we kept the competitor sections to what their public pages say and avoided prices that change often.

QuickBooks Online built-in receipt capture

Every QuickBooks Online subscription includes receipt capture. You can photograph receipts in the mobile app, upload files from a computer, or forward them to a receipt email address set up for the company. QuickBooks reads the basic details and suggests a match to a bank feed transaction, or offers to create a new expense.

Where it shines. It costs nothing extra and needs no new login. For a business owner keeping their own books, or a bookkeeper with a handful of low-volume clients, it is often all you need. Matching happens inside the same file as the bank feed, which keeps things simple.

Where it strains. Everything is one company at a time. A reviewer with thirty clients opens thirty receipts lists. There is no shared review queue across clients, no per-client confidence threshold, and no built-in reminder that tells a client which charges are missing receipts. Coding suggestions are reasonable but you cannot set a firm-wide rule for a vendor across every client.

If you are deciding whether you need anything beyond the built-in tool, our page on QuickBooks receipt capture goes through the limits in more detail.

Every client company has its own address. Forwarded emails, uploads, Gmail and client links land in one queue.

Dext Prepare

Dext Prepare was known as Receipt Bank until it was renamed in 2021. It is one of the most established names in receipt and bill capture for accountants. Per their public pages, it supports several ledgers, including QuickBooks Online and Xero, and prices practice plans by the number of clients.

Where it shines. Mixed practices. If your firm keeps some clients on Xero, some on QuickBooks Online and a few on other ledgers, one capture tool across all of them is a real advantage. It has a long track record, a large set of supplier rules, and many accountants already know it.

Where to look closely. Breadth across ledgers means the product is designed around what all those ledgers share. A QuickBooks Online only practice may not use much of that breadth. Check how it handles QuickBooks classes, locations and billable expenses for your clients, and how pricing scales as your client count grows.

We wrote a separate, longer piece on Dext alternatives for practices that are QuickBooks Online only, and a head to head on Hubdoc vs Dext for QBO practices.

Hubdoc

Hubdoc is owned by Xero and is included with Xero subscriptions. It also connects to QuickBooks Online. Practices use it to collect receipts and bills, read the key details, and publish documents to the ledger.

Where it shines. Firms that are mainly on Xero get it as part of their existing subscription, so it adds no separate line on the software bill. For a Xero practice with a few QuickBooks Online clients, using one capture tool for everyone keeps training simple.

Where to look closely. Hubdoc's home is the Xero ecosystem. If your practice is entirely on QuickBooks Online, you are adopting a tool whose main roadmap follows a different ledger. Test how it codes to QuickBooks accounts and classes for a real client, how it handles bank matching on the QuickBooks side, and how review works when you have many companies.

Neither of these points makes Hubdoc a poor choice. It is a sound tool. The question is fit. A practice that lives in Xero and a practice that lives in QuickBooks Online have different needs, and our Hubdoc alternative page covers the QuickBooks Online side of that decision.

Each receipt is coded to the client's own QuickBooks Online account, class, location and project.

AutoEntry

AutoEntry captures receipts, bills, invoices and bank statements and publishes them to several ledgers, QuickBooks Online among them. Its pricing is credit based, meaning you buy credits and each processed document uses some of them.

Where it shines. Credit pricing can suit practices with very uneven volume, where some months bring a flood of documents and others bring almost none. Its statement capture is useful for clients who still mail paper bank statements or for catch-up work on old years.

Where to look closely. Credit pricing makes the monthly cost harder to predict, and different document types may use different numbers of credits. Before you commit, run a typical month of documents through your estimate and see what it costs at your volume. Also check how review works across many clients and whether reminders to clients are part of the product or something you handle by email.

As with the others, test it on real receipts from your own clients, not on a clean sample pack. Wrinkled fuel slips and long restaurant receipts with tips tell you more than a sharp PDF invoice ever will.

ReceiptQBO

ReceiptQBO is a receipt and bill inbox built only for QuickBooks Online. We make it, so read this section with that in mind. Our view is that a focused QuickBooks receipt scanner can go further on the details QuickBooks practices care about.

  • Intake. A forwarding address for each client company, uploads of JPG, PNG, HEIC or PDF in batches up to 200 files, a Gmail forwarding filter, and a no-login client upload link.
  • Coding. The AI model codes to each client's own expense accounts, classes, locations, customers or projects and billable flag. Vendor rules override it, and any correction can be saved as a rule in one click.
  • Review. Each field has a confidence score. Receipts at or above the client's threshold post automatically. The rest wait in one review queue across all clients, lowest confidence first.
  • Bank match and duplicates. Matched receipts attach to existing transactions. Same file or same vendor and amount within three days is flagged and not posted.
  • Reminders. A weekly email to each client lists charges with no receipt.

The trade off is plain. If you keep Xero clients too, ReceiptQBO does not serve them. Pricing is a flat subscription by plan, shown on our pricing page.

The receipt is attached to the bank or card line already in QuickBooks, so nothing is entered twice.

Matching the tool to the shape of your practice

There is no single winner, and anyone who tells you otherwise is selling something. The honest answer depends on two facts about your practice: which ledgers your clients use, and how many companies one reviewer handles.

  • One company, light volume. Start with built-in QuickBooks Online capture. Add a separate tool only when the review list becomes a chore.
  • Mainly Xero, a few QuickBooks Online clients. Hubdoc is a natural fit because it comes with Xero.
  • Mixed ledgers across a larger book of clients. Dext Prepare or AutoEntry, depending on whether you prefer client based or credit based pricing.
  • QuickBooks Online only, many clients. A focused tool like ReceiptQBO, with one review queue across clients and reminders built in.

One more factor is easy to overlook: who on your team does the work. If preparers do first-pass coding and a senior reviewer approves, look for real roles and an audit trail, not just a shared login. If your clients are slow with receipts, look hard at the chasing features, because missing receipts cost more time than slow scanning ever will.

How to test receipt scanners fairly

Reviews and feature lists only go so far. The best test is your own messy documents. Pick one real client and gather a month of their receipts, including the hard ones: faded thermal paper, a receipt with a handwritten tip, a foreign currency charge, a vendor invoice with several line items, and a refund.

Run the same batch through each tool you are considering. For each one, write down how many receipts were coded to the right account without a change, how many matched the right bank line, whether any duplicate slipped through, and how long the review took. Keep the notes in a simple sheet so the comparison is about your work, not about marketing.

You can do a first, very quick check of ReceiptQBO without signing up: upload one receipt on the home page and you will see the vendor, date, total and the proposed QuickBooks account. Plans are subscriptions you can cancel any time. For a wider view of the category, our page on receipt scanning software explains what each part of the workflow should do.

Questions about choosing a receipt scanner for QuickBooks Online

Is the built-in QuickBooks receipt capture good enough?

For one company with modest volume, often yes. It strains when a reviewer handles many companies, because each receipts list lives in a separate file and there are no client reminders.

Which receipt scanner is best for a mixed Xero and QuickBooks practice?

A multi-ledger tool such as Dext Prepare or AutoEntry, or Hubdoc if most clients are on Xero. ReceiptQBO serves QuickBooks Online only.

Why are competitor prices not listed here?

They change often and depend on client counts or credit bundles. Check each vendor's current public pricing before comparing.

How can I try ReceiptQBO before subscribing?

Upload one receipt on the home page without an account to see the vendor, date, total and proposed QuickBooks account. Paid plans are subscriptions you can cancel any time.

See it on your receipt. No account needed.
