Receipts follow agents and listings
Real estate spending is scattered by design. Agents work out of their cars. A listing needs photos, a sign post, lockbox, staging furniture and a cleaning crew before the first showing. MLS and association dues arrive by email on their own schedule. Every one of those costs belongs to someone and to somewhere: an agent, a property, sometimes a client who will reimburse it at closing.
In QuickBooks Online, a brokerage or team usually tracks that with two lists. Classes stand for agents or teams. Locations, which QuickBooks Online also calls departments, stand for properties, offices or markets. When receipts are coded to both, you can see what each listing cost to market and what each agent spent this year.
The hard part is not the setup. It is getting dozens of small receipts from many cars into the books with the right tags. ReceiptQBO is a receipt and bill inbox with AI built only for QuickBooks Online, and that tagging is exactly what it does. See how it works for the full flow.
Classes per agent, locations per property
ReceiptQBO syncs your classes, locations, accounts and customers from QuickBooks Online through the connection. Each receipt is coded to them:
- Expense account, such as Advertising and Marketing, Staging, Signs, Dues and Subscriptions, or Photography.
- Class, one per agent or team, so agent level spending is reported correctly.
- Location, one per listing or office, so you can see the marketing cost of each property.
- Customer or project and the billable flag, for costs you pass back to a seller or a property owner.
- Memo, for the address or listing number.
Before you connect, ReceiptQBO proposes accounts from a starter chart for real estate, so the first receipts you upload already look like your industry. After connecting, it uses your own chart.
Each field gets a confidence score. Your threshold, 90 percent by default, decides what posts on its own and what waits for a person. A sign order with a clear address and a known vendor goes through. A hardware store run with no property named waits for review.

Staging, signs, photos and MLS fees
Most real estate costs come from a known set of vendors, which makes vendor rules powerful. A rule overrides the AI every time, for example "the sign company always Signs" or "the MLS always Dues and Subscriptions". Write rules for your photographer, staging company, sign vendor, lockbox provider and MLS, and those documents stop needing your attention.
Rules can be saved from any correction in one click. If you fix a photographer's invoice to Photography once, every future one from the same vendor follows.
Staging companies and photographers often send invoices rather than receipts. ReceiptQBO reads the document type, so an invoice is created as a Bill in QuickBooks Online, ready to pay, while a card receipt becomes an Expense. Both carry the image. Credit notes from a staging company that returned furniture early are read as credit notes. Learn more on scanning bills into QuickBooks.
Online orders, such as printed flyers or digital ad boosts, often arrive as emails with no attachment. Those are read from the email body.
What ReceiptQBO does not handle
Mileage is a large deduction for many agents, so it is worth being clear. ReceiptQBO handles receipts, bills and credit notes. It does not log trips, track miles or calculate a mileage deduction. If an agent forwards a gas receipt, it is coded as fuel like any other receipt, but a mileage log needs a separate tool built for that purpose.
It also does not manage trust or escrow accounts, commission splits or transaction files. Those belong in your brokerage software and your accounting process. ReceiptQBO stays on the part it does well: getting expense documents into QuickBooks Online, coded, matched and attached.
Finally, it works only with QuickBooks Online. If part of your brokerage runs on another ledger, keep that in mind before you choose a tool.
Being honest about scope is better than a surprise in your first month. If the receipt and bill side is the gap in your books, the rest of this page shows how we close it.

Matching agent card charges
Many teams give agents company cards or reimburse personal cards. Either way, the card charge often reaches QuickBooks Online through the bank feed before the receipt shows up.
ReceiptQBO reads the card's last four digits and matches each receipt by amount within a short date window to card and bank transactions already in QuickBooks. A matched receipt is attached to that transaction rather than creating a new expense, so nothing is booked twice. You can also import statements as CSV, OFX, QFX or QBO Web Connect files when a card is not in the bank feed.
Charges with no receipt form a missing receipts list. On Bookkeeper and Firm plans, a weekly email goes to the client contact listing those charges with a no-login upload link. The page on matching receipts to bank transactions shows the matching window in detail.
The duplicate check catches the same receipt sent by two people, for example an agent and an assistant, by file fingerprint or by same vendor and amount within three days.
Plans for teams, brokerages and their bookkeepers
A single brokerage or team with its own QuickBooks Online company uses the Company plan: $49 a month, or $24 a month billed yearly. It covers 300 documents a month and up to five people forwarding receipts, which suits a small team or a broker with an assistant.
A bookkeeper who looks after several agents or offices, each with its own QuickBooks Online company, uses the Bookkeeper plan at $299 a month, or $149 a month billed yearly, for up to 25 companies and 2,500 documents a month pooled. The missing receipt reminders come with it.
As an example only, an office with 12 agents where each forwards 20 receipts a month is 240 documents, inside the Company plan allowance of 300. The limit to watch is people: the Company plan allows five forwarders, so compare plans before you hand the address to all twelve agents.
Try one receipt on the QuickBooks receipt scanner home page first. No account is needed, and you will see the vendor, date, total and proposed account.
How to set up receipt tracking for a real estate team
- Create classes and locations in QuickBooks Online. Add one class per agent or team and one location per active listing or office.
- Connect the company to ReceiptQBO. Sign in through the Intuit sign-in so the lists sync.
- Share the forwarding address with agents. Ask agents to forward receipts with the property address in the subject.
- Add rules for regular vendors. Cover the sign company, photographer, stager and MLS so those documents post on their own.
- Review the missing receipts list each week. Follow up on card charges with no receipt while the listing is still fresh.
