Forwarding and uploading

Email receipts to QuickBooks and let the inbox do the uploading

To email receipts to QuickBooks, forward them to the client's ReceiptQBO address, for example [email protected]. Attachments and receipts written in the email body are both read, coded to that company's QuickBooks Online accounts and posted or attached to the matching bank charge. A Gmail filter can forward them automatically.

Most receipts already live in an inbox

Think about where a typical small company's receipts come from in a month. Software subscriptions, cloud storage, ad platforms, phone plans, supply orders, airline tickets, ride apps, hotel folios. Almost all of them arrive by email. Paper is the minority now, even for contractors.

That means the shortest path into QuickBooks Online is not a scanner. It is the forward button. The problem is that a forwarded email is still just an email until someone reads it, works out the vendor and total, picks an account and attaches it to the right transaction. Done by hand, uploading receipts to QuickBooks Online one email at a time adds up quickly. For example, 20 clients with 40 email receipts each at 4 minutes per receipt is about 53 hours a month.

ReceiptQBO turns the forward into the whole job. The email goes in, a coded entry comes out, and the person who forwarded it does not need a QuickBooks login at all.

A forwarding address for each client company

Every client company in ReceiptQBO gets its own address, such as [email protected]. The address decides which QuickBooks company the receipt belongs to, so you never sort a shared inbox.

Give the address to whoever pays for things: the owner, the office manager, a project lead. On the Company plan up to 5 people can forward receipts to it. On the Bookkeeper and Firm plans the team is unlimited.

What the address accepts:

  • Attachments in PDF, JPG, PNG or HEIC, including several in one email.
  • Body-only receipts. Many online stores and apps send the receipt as the email itself with no attachment. Those are read straight from the email body.

The address only receives. Nobody can use it to look at documents, so it is safe to put in an email signature or a vendor portal.

Each receipt is coded to the client's own QuickBooks Online account, class, location and project.

Set a Gmail filter once and stop forwarding by hand

Forwarding by hand works until a busy week gets in the way. A filter removes the human step. For companies on Gmail or Google Workspace, ReceiptQBO includes a guide in the app that walks through creating a filter that forwards matching emails to the client's address automatically.

A typical filter looks for words like "receipt", "invoice", "order confirmation" or "payment received", or for specific senders such as your software vendors and suppliers. Gmail asks you to confirm the forwarding address once, and after that every matching email goes out the moment it arrives.

A few tips that keep the filter clean:

  • Start narrow with known senders, then widen once you see what arrives.
  • Exclude newsletters and marketing from the same vendors.
  • Keep personal purchases in a separate inbox, so they never reach the company address.

A full walk through with example search strings is in the guide on the Gmail filter to forward receipts to QuickBooks. The Gmail forwarding guide is in the app on every plan.

The client upload link for everything else

Not every client will set up forwarding, and some receipts are still paper. For those, each client has a no-login upload link. It opens in any phone browser. The client takes a photo or picks files and taps send. No app to install and no password to remember.

The same link is included in the weekly missing receipt reminder on the Bookkeeper and Firm plans. That email lists the bank and card charges that still have no receipt, so the client knows exactly which ones to look for, and the link is right there to send them. It goes out on the weekday you choose, and a send-now button covers the rush before month end.

You can also upload directly in the app, up to 200 files at a time, which helps when a client hands over a folder of PDFs or a scanned stack. For phone and scanner workflows, see scan receipts into QuickBooks Online.

The receipt is attached to the bank or card line already in QuickBooks, so nothing is entered twice.

What happens after the email arrives

Once the receipt is in, the same steps run as for any other document:

  1. The AI model reads vendor, date, subtotal, sales tax, tip, total, currency, payment method, card last 4 digits and line items, and decides whether it is a receipt, a bill or a credit note.
  2. Vendor rules apply first, then the AI picks account, class, location, customer or project from the company's own QuickBooks lists.
  3. Each field gets a confidence score. At or above the client threshold the document posts automatically. Below it, it waits in the shared Review queue.
  4. The receipt is matched by amount and date to the bank or card charge already in QuickBooks and attached to it. With no match, an Expense or Bill is created with the image.

Duplicate emails are common, because the same receipt often reaches two people. A repeat file, or the same vendor and amount within 3 days, is flagged and not posted. The full process is on how it works.

Choosing a plan for email receipts

If you run one company and want your own receipts to stop piling up, the Company plan covers one QuickBooks Online company with 300 documents a month and up to 5 people forwarding, for 49 dollars a month or 24 a month billed yearly.

Bookkeepers who want forwarding addresses, Gmail filters, reminders and one review queue across up to 25 clients use the Bookkeeper plan at 299 dollars a month or 149 billed yearly. Larger practices with up to 100 clients and an approver step use Firm.

Each forwarded receipt counts as one document toward the monthly limit, whether it came as an attachment or in the email body. If a month runs over, extra documents wait in the queue, and moving to a larger plan charges only the difference for the rest of the period.

To see how an email receipt reads before signing up, upload one on the QuickBooks receipt scanner home page. No account is needed, and the demo file is deleted within 24 hours. Full plan details are on pricing.

How to email receipts to QuickBooks Online

  1. Copy the client address. Open the client company in ReceiptQBO and copy its forwarding address, for example [email protected].
  2. Share it with the people who pay. Send the address to the owner, office manager or field leads, and add it to vendor portals that email receipts.
  3. Add a Gmail filter. Follow the in-app guide to forward matching receipt emails from Gmail or Google Workspace automatically.
  4. Send the upload link for paper. Give the client the no-login upload link so photos of paper receipts arrive at the same company.
  5. Review and post. Clear the few documents below the confidence threshold. The rest post or attach to bank charges in QuickBooks on their own.

FAQ

Questions about emailing receipts to QuickBooks

What if the receipt email has no attachment?

It is read from the email body. Many online stores and subscription services send receipts that way, and they are handled like any attached file.

Can several receipts be in one email?

Yes. Each attachment becomes its own document, read and coded separately, and all of them belong to the company tied to that address.

Does the person forwarding need a ReceiptQBO account?

No. Anyone can forward to the address. On the Company plan up to 5 people forward receipts, and Bookkeeper and Firm plans have an unlimited team.

How is this different from emailing receipts to the address inside QuickBooks?

The built-in address stores receipts for one company and suggests matches. ReceiptQBO also codes each receipt with your vendor rules, scores confidence and puts every client in one queue. See QuickBooks receipt capture for a fair comparison.
