Gmail filter that forwards every receipt to your books, step by step

To make Gmail forward receipts automatically, add your receipt address under Settings, See all settings, Forwarding and POP/IMAP, confirm it, then create a filter under Filters and Blocked Addresses with receipt search terms and choose Forward it to. New matching emails then go to your books without anyone remembering to forward them.

Why a forwarding filter beats good intentions

More and more receipts never touch paper. Software subscriptions, online orders, ride shares, fuel apps, airline tickets and hotel folios all arrive by email. That should make bookkeeping easier, but in practice those receipts sit in the owner's inbox, buried under newsletters, until someone asks for them at month end.

Asking people to forward receipts by hand works for a week. Then a busy stretch hits and the habit breaks. A Gmail filter does not have busy weeks. Once it is set up, every new email that looks like a receipt goes straight to the books, the moment it arrives.

The setup takes about ten minutes per inbox and has two parts. First you tell Gmail that a forwarding address is allowed, and confirm it. Then you create a filter that decides which emails get forwarded. This guide walks through both with the exact Gmail menu names, then covers the Google Workspace admin setting that sometimes blocks forwarding, and an Outlook rule for clients who are not on Gmail. Do the setup on a computer in Gmail on the web. The Gmail mobile app does not offer these settings.

Before you start

Have three things ready before you open Gmail settings.

  • The destination address. This is where receipts should go. In QuickBooks Online it may be the company's receipt forwarding address. In ReceiptQBO, each client company has its own address, something like henderson-7k2p@in.receiptqbo.com. Copy it exactly.
  • Access to the inbox. You need to be signed in as the person whose email is being forwarded. If you are a bookkeeper helping a client, do it together on a short screen-share call, so the client stays in control of their own account.
  • A short list of the client's regular vendors. Look through last month's inbox for receipts. Note the sender addresses and the words in their subject lines. You will use these in the filter.

One more decision: forward receipts only, not everything. Gmail has an option to forward a copy of all incoming mail. Do not turn it on. It would send private messages to the books and bury the receipts in noise. The filter approach forwards only what matches, which is exactly what you want. For a wider view of email intake, see our page on emailing receipts to QuickBooks.

Each receipt is coded to the client's own QuickBooks Online account, class, location and project.

Add the forwarding address in Gmail

Gmail will only forward to an address you have added and confirmed. Here is how to add it.

  1. In Gmail on the web, click the gear icon at the top right, then click See all settings.
  2. Open the Forwarding and POP/IMAP tab.
  3. Click Add a forwarding address.
  4. Paste the destination address and click Next, then Proceed in the window that opens, then OK.

Gmail now sends a confirmation message to that address. It contains a link and a confirmation code. Until the address is confirmed, Gmail will not forward anything to it.

Back on the Forwarding and POP/IMAP tab you will see a box asking for the confirmation code. Leave the option Disable forwarding selected at the top of that tab. That setting controls forwarding of all incoming mail, and you do not need it. Filter based forwarding works on its own once the address is confirmed. If you use ReceiptQBO, the forwarding guide in the app shows you how to complete the confirmation for the client's address.

Confirm the address

Confirmation proves to Gmail that the destination is real and that you meant to add it. There are two ways to finish.

  • Click the link in the confirmation message. A Google page opens and asks you to confirm. Click the confirm button.
  • Enter the code. Copy the numeric code from the confirmation message, paste it into the box on the Forwarding and POP/IMAP tab, and click Verify.

Either way, refresh the settings page afterwards. The address should now appear as a forwarding option without a pending note next to it.

If the confirmation message does not seem to arrive, check three things. Was the address copied exactly, with no space at the end? Is the destination inbox set up to receive mail from Gmail? And did the message land somewhere you did not expect, such as a spam folder on the receiving side? If you made a typo, remove the address from the tab and add it again.

Confirmation is a one-time step per inbox and destination. You do not need to repeat it when you edit the filter later.

The receipt is attached to the bank or card line already in QuickBooks, so nothing is entered twice.

Create the filter that forwards receipts

Now tell Gmail which emails to send.

  1. Go back to See all settings and open the Filters and Blocked Addresses tab.
  2. Click Create a new filter. A search box with several fields opens.
  3. Fill in the fields with your receipt search terms. The next section gives tested examples.
  4. Click the Search button first. Gmail shows the emails your terms match today. Scroll through them. If newsletters or personal messages appear, tighten the terms before going further.
  5. When the results look right, open the search options again and click Create filter.
  6. Tick Forward it to and choose the confirmed address from the list.
  7. Click Create filter.

Two details are worth knowing. Gmail filters act on new mail only. Ticking the option to apply the filter to matching conversations applies other actions, like labels, to old mail, but it does not forward past emails. Forward older receipts by hand or as a batch upload. Also consider adding a label such as Receipts sent in the same filter, so the owner can see at a glance what was forwarded.

Search terms that catch receipts and skip the rest

The filter is only as good as its search terms. Start broad on the subject, then add known senders.

  • Subject words. In the Subject field, try: receipt OR invoice OR "order confirmation" OR "payment received" OR "your order". Quotes keep a phrase together.
  • Known senders. In the From field, list regular vendors joined by OR, for example the sending domains of the client's software, fuel and travel providers.
  • Exclusions. In Doesn't have, add words that appear in marketing emails from the same senders, such as newsletter, webinar or unsubscribe, if they cause false matches. Test this one carefully, because many genuine receipts also contain an unsubscribe link.
  • Attachments. Ticking Has attachment narrows results, but many receipts have no attachment and show the details in the email body. Leave it unticked unless you are getting too much.

It is often cleaner to build two filters: one on subject words for the long tail of vendors, and one on known sender addresses. Review what was forwarded after the first two weeks and adjust. A few minutes of tuning saves the books from both noise and gaps.

Only documents under the client's confidence threshold wait for a person, lowest confidence first.

A note for Google Workspace accounts

Many businesses use Gmail through Google Workspace, with their own domain. In that case an administrator controls whether users may forward mail automatically to outside addresses. If the forwarding options are missing or greyed out, this is usually why.

The administrator can check in the Google Admin console, under Apps, Google Workspace, Gmail, End User Access, where there is a setting for allowing users to automatically forward incoming email to another address. It can be set for the whole organization or for specific groups. The administrator may prefer to allow it only for the people who receive receipts, such as the owner and the office manager.

If your client's IT provider manages their Workspace, send them a short, specific request: which user needs forwarding, to which single address, and why. A narrow request is easy to approve. Once forwarding is allowed, the steps above work the same way as in a personal Gmail account.

Shared inboxes, such as an accounts payable address, are a good place for a receipts filter, because bills and receipts from many vendors already land there. More on bills is on our page about scanning bills into QuickBooks.

The Outlook alternative

Clients on Outlook can do the same with a rule. In Outlook on the web, open Settings, then Mail, then Rules, and choose Add new rule. Name it Receipts. Add a condition such as subject includes receipt or invoice, or from a list of vendor addresses. For the action, choose Forward to and enter the destination address. Save the rule.

In the Outlook desktop app the same feature lives under Rules, with very similar choices. Rules on the web run on the server, so they work even when the desktop app is closed.

One catch is common in Microsoft 365 business accounts. The outbound spam policy may block automatic forwarding to external addresses by default. The rule looks fine, but nothing arrives. If that happens, the administrator needs to allow automatic external forwarding for the user in the outbound anti-spam policy. As with Workspace, ask for the narrowest change: one user, one destination.

Test the rule by sending a sample receipt to the inbox and checking that it reaches the books within a few minutes.

Clients get one weekly email listing the charges that still need a receipt, with a no-login upload link.

What happens after the receipt is forwarded

Forwarding is only the first half. What matters is what the books do with the email when it lands. With ReceiptQBO, a QuickBooks receipt scanner for QuickBooks Online, the forwarded email goes to the client company's own address and is read straight away.

Attachments in JPG, PNG, HEIC or PDF are read for vendor, date, subtotal, sales tax, tip, total and payment method. Email receipts with no attachment are read from the email body, which covers many online orders and ride receipts. The receipt is coded to the client's own QuickBooks Online accounts and classes, matched to the bank or card line if it is already there, and either posted or placed in review depending on the client's confidence threshold.

Gmail and Google Workspace forwarding works on every plan, the app shows the confirmation code Gmail sends to the new address, and it includes a guide for setting the filter up. See how it works for the full path from inbox to QuickBooks.

How to set up a Gmail filter that forwards receipts

  1. Open forwarding settings. In Gmail on the web, click the gear, then See all settings, then the Forwarding and POP/IMAP tab.
  2. Add the forwarding address. Click Add a forwarding address, paste the receipt address, then Next, Proceed and OK.
  3. Confirm the address. Click the link in the confirmation message or enter the code and click Verify.
  4. Create a new filter. On the Filters and Blocked Addresses tab, click Create a new filter and enter receipt search terms.
  5. Test the search. Click Search, check the results, and tighten the terms until only receipts show.
  6. Forward matching emails. Click Create filter, tick Forward it to, choose the confirmed address and save.

Questions about forwarding receipts from Gmail

Does a Gmail filter forward old emails?

No. Gmail filters forward new incoming mail only. Forward older receipts by hand or upload them as a batch.

Why can I not see the forwarding option in Gmail?

On a Google Workspace account, the administrator may have turned off automatic forwarding. It is controlled in the Admin console under Gmail end user access settings.

Will the filter forward receipts with no attachment?

Yes, if you leave Has attachment unticked. ReceiptQBO reads receipts from the email body when there is no attachment.

Can I do the same in Outlook?

Yes. Create a rule under Settings, Mail, Rules with a Forward to action. Microsoft 365 administrators may need to allow external automatic forwarding.

See it on your receipt. No account needed.
