ReceiptQBO

For small business

Receipt scanning app for business owners who run on QuickBooks Online

A receipt scanning app for business should let your staff send receipts the moment they pay and put each one on the right account in your books. ReceiptQBO gives your QuickBooks Online company a forwarding address, reads every receipt, matches it to the card charge and posts it with the image attached.

The receipt problem in a small company

In a small business, receipts are everyone's job and nobody's job. The owner buys supplies on the way in. A manager pays for a repair. Someone orders printer ink online and the receipt sits in their personal inbox. At the end of the month, the card statement shows thirty charges and the folder holds twelve receipts.

Then the questions start. What was the $86 at the hardware store for? Was the lunch with a client or with staff? Your bookkeeper, or you on a Sunday night, spends hours matching paper to lines on a statement.

ReceiptQBO is built to shrink that gap for one QuickBooks Online company. Everyone who buys for the business sends the receipt to one address. The AI model reads it, codes it to your own accounts and classes, matches it to the charge already in QuickBooks, and posts it. You review only what it is unsure about. If you want the step by step view before reading on, see how it works.

Your team forwards, you stay out of it

Your company gets its own forwarding address, something like [email protected]. Save it in your phone contacts as "Receipts". Share it with the people who spend company money. On the Company plan, up to five people can forward receipts.

What they send can be almost anything:

  • A photo of a paper receipt taken right at the counter, as JPG, PNG or HEIC.
  • A PDF invoice from a supplier.
  • An order confirmation email with no attachment at all. ReceiptQBO reads the receipt from the email body.

Nobody needs a login or an app. If an employee misses one, the receipt can come later through the upload link, or you can drag a batch of files in yourself, up to 200 at a time.

A simple habit helps more than any setting. Ask staff to forward the receipt before they leave the store or close the order page, and to add one word in the email subject when the purpose is not obvious, such as "client lunch" or "job 214". The email receipts to QuickBooks page shows what happens to that email next.

Every client company has its own address. Forwarded emails, uploads, Gmail and client links land in one queue.

Card charges matched, not doubled

Most small businesses connect their bank and card accounts to QuickBooks Online. That is good, but it creates a trap. If a receipt tool creates a new expense for every receipt, and the bank feed also brings in the charge, you end up with the same purchase twice.

ReceiptQBO avoids that. Each receipt is matched by amount within a short date window to bank and card transactions already in QuickBooks. When it finds the match, it attaches the receipt to the existing transaction instead of making a new one. The card last four digits it reads from the receipt helps you see which card was used when you have more than one.

Any charge that still has no receipt goes on your missing receipts list. You can see the gaps at a glance and ask the right person for the right receipt, instead of guessing.

A duplicate check also stops the same receipt from posting twice. A repeated file, or the same vendor and amount within three days, is flagged and held. Read more on matching receipts to bank transactions.

Coding that follows your own books

Your QuickBooks Online company already has a chart of accounts, maybe a few classes or locations, maybe customers you bill for materials. ReceiptQBO syncs those lists through the connection and codes each receipt to them: expense account, class, location, customer or project, billable flag and a memo.

Every field gets a confidence score. Your company has a threshold, 90 percent by default. A receipt that meets it is approved and posted on its own. A receipt below it waits for you, with the uncertain field highlighted.

When you fix something, save it as a rule in one click. Next time, the same vendor goes straight to the right place. Rules always win over the AI, so after a few weeks your regular vendors, the gas station, the phone company, the supply store, need no attention at all.

The result in QuickBooks Online is an Expense or a Bill with the receipt image attached and the vendor created if it was new. That is what your accountant wants to see at tax time.

The receipt is attached to the bank or card line already in QuickBooks, so nothing is entered twice.

What it costs and what you get

The Company plan is $49 a month, or $24 a month billed yearly, which is $288 for the year. It covers one QuickBooks Online company, 300 documents a month, up to five people forwarding receipts, and all core features: reading, coding to your lists, rules, bank matching, duplicate checks, posting, and export to Excel, CSV and a QuickBooks bill import file.

To put that in context, here is an example only. If a business handles 60 receipts a month and each one takes four minutes to find, type and attach by hand, that is about four hours a month. You can run the same arithmetic with your own numbers.

If you outgrow 300 documents, extra documents wait in the queue until the next month, or you upgrade and pay only the difference for the rest of the period. You can cancel any time.

Before you subscribe, try the demo on the QuickBooks receipt scanner home page. Upload one receipt without an account and see the vendor, date, total and the account it proposes.

When your bookkeeper already uses ReceiptQBO

Many small businesses have an outside bookkeeper. If yours already works in ReceiptQBO on a Bookkeeper or Firm plan, your company can be one of their clients instead of having its own subscription. You still get a forwarding address and the same reading and matching. Your bookkeeper handles the review queue, and you may get a weekly email listing charges without receipts, with a link to upload them from your phone.

If your bookkeeper does not use it, the Company plan works well on its own and leaves a clean trail for whoever does your books. Every step is recorded: when a receipt arrived, how it was read, which rule applied, who edited it and when it posted.

Your QuickBooks Online company connects through the Intuit sign-in, so ReceiptQBO never sees your QuickBooks password, and you can disconnect at any time.

How to start scanning receipts for your business

  1. Connect your QuickBooks Online company. Sign in through the Intuit sign-in so your accounts, classes and customers sync.
  2. Share your forwarding address. Give it to up to five people who spend company money and ask them to forward every receipt.
  3. Upload last month's backlog. Drag in receipts you already have, up to 200 per batch, and let them match to card charges.
  4. Fix and save rules. Correct anything the AI got wrong and save it as a rule for that vendor.
  5. Check the missing receipts list weekly. Ask for the few receipts still missing while people still remember the purchase.

FAQ

Questions from business owners

Do my employees need accounts?

No. They forward receipts to your company address or use the upload link in a phone browser. Up to five people can forward on the Company plan.

Will it create duplicate expenses from my bank feed?

No. Receipts are matched to transactions already in QuickBooks Online and attached to them. Only receipts with no matching charge create a new expense.

Can I use it with QuickBooks Desktop?

No. ReceiptQBO works only with QuickBooks Online.

Is the built-in receipt capture in QuickBooks Online enough?

For a few receipts a month it may be. ReceiptQBO adds vendor rules, class and project coding, a confidence threshold and email body reading. Our QuickBooks receipt capture page compares them.
