Why QuickBooks Online users look for a WellyBox alternative
WellyBox earned its following with one clever idea. You connect your email account, and it searches the inbox for invoices and receipts so nobody has to dig through months of order confirmations. Its pricing page also lists WhatsApp capture, Google Drive sync and Excel conversion, and reviewers on G2 and Trustpilot mostly praise the email collection.
The trouble starts after the receipt is found. Collecting a receipt is the easy part of bookkeeping. Someone still has to decide that the Adobe invoice is Software, the Shell receipt is Fuel for the service van, and the Home Depot run is Materials billable to the Miller job. Then someone has to make sure the receipt does not create a second expense for a charge the bank feed already pulled into QuickBooks Online. Reviewers on G2 mention that WellyBox sometimes misses or miscategorizes receipts, that lower plans carry document limits and that there is no full API.

How much does WellyBox cost?
WellyBox costs $19 a month for its Basic plan, which is sold annually only, per its public pricing page. Business is $49 a month billed yearly or $59 billed monthly, and Enterprise is $99 a month billed yearly or $124 billed monthly. Some directory listings still show older prices around $6 to $16 a month, so treat those as out of date.
The limits matter more than the sticker. Basic covers 50 documents a month, 2 users and a 12 month email lookback. Business billed monthly covers 500 documents, 10 users and 24 months of lookback, while Business billed yearly lifts documents and users to unlimited with 48 months of lookback. Enterprise adds a clients dashboard and unlimited clients, which is the plan a bookkeeping practice would compare against.
ReceiptQBO prices by QuickBooks Online company and pooled documents. The Company plan is $49 a month, or $24 a month billed yearly, for one company, 300 documents and up to 5 people forwarding receipts. The Bookkeeper plan covers up to 25 client companies and 2,500 documents pooled across them for $299 a month, or $149 a month billed yearly. The Firm plan covers 100 companies and 10,000 documents. Does WellyBox work with QuickBooks Online?
Yes. Software directories list QuickBooks and Xero among the WellyBox integrations, and Trustpilot reviewers describe sending receipts to QuickBooks. The WellyBox pricing page itself only says it integrates with top accounting software without naming them, so confirm the exact QuickBooks edition and what fields sync before you rely on it for client work.
ReceiptQBO goes deeper into one ledger instead of wide across many. It signs in to each QuickBooks Online company through Intuit and syncs that company's expense accounts, classes, locations, customers and projects. Every receipt is coded to those exact lists, with the billable flag set when the receipt belongs to a job.
Vendor rules sit above the AI. A rule like "Verizon is always Telephone, class Admin" wins every time, and one click turns a reviewer's correction into a rule for that company. - You need to dig up old receipts from an inbox. WellyBox connects to the mailbox and looks back 12 to 48 months depending on plan. ReceiptQBO works going forward: receipts are forwarded to a company address, by hand or with a Gmail filter, and it does not crawl your past mail.
- Your clients send receipts on WhatsApp. WellyBox lists WhatsApp accounts as a capture source. ReceiptQBO captures by email, phone browser upload and batch upload.
- Some of your books are in Xero. ReceiptQBO is QuickBooks Online only.
- You want a low-cost tool for one business with light volume. WellyBox Basic at $19 a month billed yearly is cheaper than the ReceiptQBO Company plan at $24 a month billed yearly, as long as 50 documents a month is enough.
- You run a large practice on a tight budget and code everything yourself anyway. WellyBox Enterprise lists unlimited clients for $99 a month billed yearly.
