Expensify alternative for QuickBooks Online receipts and bookkeepers

ReceiptQBO is an Expensify alternative for QuickBooks Online receipts when employees need to submit receipts and bills for bookkeeping without preparing reimbursement reports. It codes documents to the company's own QBO accounts, classes and customers and matches receipts to bank or card charges already in QBO. Pricing is per company or practice rather than per member. Expensify is the better pick when you need employee expense reports, approvals and reimbursement payouts, or a corporate card.

Why QuickBooks Online users look for an Expensify alternative

Expensify makes sense when a purchase starts an employee expense claim. But a receipt from a company card has a different destination. The business has already paid, the charge is already in QuickBooks Online, and the bookkeeper needs the document attached and the purchase coded. Preparing an expense report can feel like an extra step when nobody needs a reimbursement payout.

Per member pricing also deserves a look as headcount grows. If people mainly submit occasional receipts, compare what you pay for their access with the work they actually need done. ReceiptQBO prices by company or practice, with document allowances and plan limits. That changes the basis of the comparison, but it does not mean every small team will spend less.

For bookkeepers, the issue extends across client workspaces. Moving between companies to collect receipts, check coding and chase missing documents breaks up the day. ReceiptQBO has one review queue across clients, sorted by confidence. Our receipt scanner for bookkeepers page explains how that shared queue fits a practice working entirely in QuickBooks Online.

How much does Expensify cost?

Expensify Collect costs $5 per member per month with no annual commitment and includes the QuickBooks Online connection, according to Expensify's own blog and QuickBooks guide. You do not need to assume a higher plan just to connect QBO. For a small team, Collect may cost less than ReceiptQBO, so start with the members on your actual bill.

Control costs more. Third-party listings cite $9 per member per month with an annual commitment and Expensify Card use, about $18 without the card and up to $36 month to month. Confirm Control pricing with Expensify because the commitment and card conditions matter. Control adds QuickBooks Desktop, NetSuite and Sage Intacct support, which a QBO-only business may not need.

ReceiptQBO Company is $49 a month or $24 a month billed yearly, covering 300 documents a month and up to 5 team members. Bookkeeper is $299 a month or $149 a month billed yearly for 25 companies and 2,500 documents pooled. Firm is $899 a month or $449 a month billed yearly for 100 companies and 10,000 documents. ReceiptQBO has paid plans only.

Compare both the subscription and the work left after capture. Check your document volume, team access and client count against the ReceiptQBO plan limits. Paying by company can suit a receipt collection workflow, while paying by member can still be reasonable when those members use expense reports, reimbursement payouts or mileage.

Every client company has its own address. Forwarded emails, uploads, Gmail and client links land in one queue.

Does Expensify work with QuickBooks Online?

Yes. Expensify connects to QuickBooks Online through Collect, so switching is a workflow decision rather than a way to obtain a missing integration. Expensify also works with Xero, and Control adds QuickBooks Desktop alongside NetSuite and Sage Intacct. ReceiptQBO supports QuickBooks Online only. It does not connect to QuickBooks Desktop or Xero.

ReceiptQBO connects each company through Intuit and codes receipts and bills to that company's accounts, classes, locations, customers and projects. Vendor rules keep recurring purchases consistent. A reviewer can check whether supplies belong to a customer job or general overhead using the lists already in the books, instead of translating a generic category into the company's accounting structure later.

Matching matters just as much as coding. ReceiptQBO checks for duplicates and matches receipts to bank or card transactions already in QuickBooks Online. Review the receipt matching workflow for existing QBO transactions before testing the switch. Use purchases that are already recorded in QBO so you can judge whether the result supports your reconciliation process without booking the expense again.

When Expensify is the better choice

Keep Expensify when employees pay personally and need expense reports, manager approvals and reimbursement payouts. Those are central parts of an employee expense process. ReceiptQBO does not produce employee expense reports or pay reimbursements. Its bookkeeping review queue helps check receipt coding, but it does not replace approval of an employee's claim or the payment that follows.

Expensify is also the stronger choice when you want the Expensify Card or rely on mileage tracking. SmartScan receipt capture sits alongside those expense management features. ReceiptQBO does not offer cards. If your purchasing policy depends on a corporate card and an employee reporting workflow together, evaluate that whole process before moving receipt collection elsewhere.

The same caution applies to ledger support. If a practice needs Xero or QuickBooks Desktop as well as QBO, ReceiptQBO cannot cover all of its clients. If everyone is on QBO but nobody needs reimbursements, the Dext alternative for QuickBooks Online practices offers another comparison focused on receipt and bill bookkeeping.

Each receipt is coded to the client's own QuickBooks Online account, class, location and project.

Who gains the most from switching to ReceiptQBO

A small business using company cards is a clear fit when its main problem is getting supporting receipts into the books. Staff can forward digital receipts to the company address or photograph paper receipts through a no-login phone upload link. Batch upload handles files already collected. The bookkeeper reviews coding and matching rather than asking staff to assemble reports for purchases the company already paid.

A bookkeeping practice gains a shared place to review uncertain documents across QBO clients. Preparer and Reviewer roles support a division of work, and a confidence threshold per client helps reflect how much review each company needs. Pooled documents on practice plans let client volume vary within the plan allowance. This is useful when clients send receipts unevenly and the team wants to work through exceptions together.

Businesses with emailed invoices can use Gmail filter forwarding to keep new documents moving. See how to email receipts to QuickBooks Online for that intake route. Weekly missing receipt reminders for unmatched bank charges help follow up on gaps. Before choosing a plan, check how many people need team access and how many documents the company or practice handles.

How to judge the switch in one month

Choose a QBO company whose purchases reflect your normal work and run ReceiptQBO alongside your current routine for one month. Keep the posting responsibility clear so both tools do not send the same purchase. Include paper receipts, emailed bills, recurring vendors and purchases that need customer or class coding. A test made only of easy receipts tells you little about the exceptions that consume your time.

Compare the effort required to collect documents, correct accounts, check bank matches and chase missing receipts. Review uncertain items and see whether vendor rules remove repeated corrections. Ask staff whether forwarding and phone uploads fit their day. For a practice, check whether the shared queue makes it easier for a preparer and reviewer to finish client work without losing track of unresolved items.

At month end, compare your actual Expensify bill with the ReceiptQBO plan that covers your volume and team. Check the books as well as the subscription. Keep copies of the documents you need, using the export of bills and receipt files ZIP where useful. Reduce Expensify members only after the company closes cleanly and you have identified anyone who still needs its expense reports or reimbursements.

How to move receipt bookkeeping from Expensify

  1. Connect the QuickBooks Online company through Intuit. Connect the company so its accounts, classes, locations, customers and projects are available for coding.
  2. Set vendor rules. Recreate the coding decisions you want repeated for regular vendors, using the company's own QBO accounts and classes.
  3. Give staff the forwarding address and phone upload link. Share the company address, update Gmail forwarding filters and show staff how to submit photos without a login.
  4. Import a bank file. Upload a CSV, OFX, QFX or QBO Web Connect file and review receipt matches against charges already in QBO.
  5. Run one month in parallel before reducing Expensify members. Assign posting to one tool for each purchase, review the month end results and retain members who still need Expensify's expense workflow.

FAQ

Questions about switching from Expensify

What is a good alternative to Expensify?

ReceiptQBO is a good alternative for QBO businesses and bookkeepers who need receipts and bills coded and matched to existing bank charges. It prices by company or practice. Keep Expensify when employee expense reports, approval of claims, reimbursement payouts or a corporate card are part of the job.

Is Expensify worth it for a small business?

Yes, when the business uses its expense reports, approvals, reimbursement payouts, card or mileage features. Collect also includes a QBO connection at $5 per member per month. If staff only submit receipts for company purchases, compare that bill and reporting effort with ReceiptQBO's company pricing and document limits.

How much is Expensify per user?

Collect costs $5 per member per month with no annual commitment. Third-party listings put Control at $9 with an annual commitment and Expensify Card use, about $18 without the card and up to $36 month to month. Confirm Control pricing directly with Expensify before comparing your total subscription cost.

Can employees send receipts to ReceiptQBO without an account?

Yes. Employees can forward receipts to the company's forwarding address or use a no-login upload link in a phone browser. They do not need an account to submit documents. The Company plan includes up to 5 team members, so check team access needs separately when choosing your plan.

Can I use Expensify and ReceiptQBO together?

Yes, if you give each tool a clear job and avoid posting the same purchase twice. You can keep Expensify for employee expense reports and reimbursement payouts while using ReceiptQBO for company receipts and bills. During a parallel month, decide which tool handles each purchase before sending anything to QBO.
