Hubdoc pricing and cost per month for QuickBooks Online bookkeepers
Hubdoc pricing is $12 a month for one plan, per its US pricing page, after a 30 day trial that needs no card. The plan includes unlimited documents, multiple collaborators, mobile and email capture and sync to QuickBooks Online or Xero. For a bookkeeper the real number is $12 times every client company that needs its own Hubdoc account, so a 25 client QuickBooks Online practice lands near $300 a month.

How much does Hubdoc cost per month?
Hubdoc costs $12 a month in US dollars, per its public pricing page. There is one plan, not a ladder of tiers, and it starts with a free 30 day trial with no credit card required. After the trial you pay the same $12 every month.
That plan lists unlimited usage, multiple collaborators, capture by phone photo, desktop upload, email forwarding and direct scanning, data extraction from bills, receipts, invoices and statements, document download and backup, and sync to QuickBooks Online and Xero. In other words, the price does not change with volume, which is the main thing that sets Hubdoc apart from credit or document based tools.
Two things to keep in mind. First, $12 is per Hubdoc account, and each business usually needs its own. Second, Hubdoc is owned by Xero, and third-party listings report that it has been included at no extra charge in select Xero business plans since 2020. QuickBooks Online users do not get that bundle, so for them the $12 is the real price.
Hubdoc pricing for accountants and bookkeepers
Practices use Hubdoc through a partner setup. Third-party software directories report that the practice account itself is free and that client accounts are billed at $12 per client per month, with unlimited documents and storage. Hubdoc does not publish a separate partner price table, so confirm the current terms with Hubdoc or Xero before you budget.
The structure matters more than the exact figure. Per client pricing means your Hubdoc bill rises with every client company you add, whether that client sends five receipts a month or five hundred. For a practice with a long tail of small clients that is easy to live with, because $12 is low. For a practice that grows past twenty or thirty clients, the per client line starts to look like a real software budget.
Some older reviews and listings quote $20 a month. That figure appears to come from earlier pricing, so treat it as history and check the live page.

What the $12 plan does not cover
Hubdoc is a capture and publishing tool. It fetches the document, reads the key fields and publishes a bill or expense with the image attached, using supplier defaults you set. For many small businesses that is all they need.
QuickBooks Online practices tend to want three extra things, and these are the questions to ask in any trial:
- Coding depth. Can every receipt land on account, class, location, customer or project and a billable flag in one pass, using the client's own QuickBooks lists?
- Bank matching. Is the receipt attached to the charge the bank feed already brought in, or does it risk creating a second expense? One reviewer on a major software review site also reported that corrections made after the first sync did not carry back to QuickBooks Online.
- Chasing clients. Who reminds the client about the card charges that still have no receipt, and how does the client answer from a phone?
None of these show up on a pricing page, but each one decides how much bookkeeper time sits on top of the $12.
A worked example for a 25 client QuickBooks Online practice
Take a practice with 25 client companies, all on QuickBooks Online, sending about 2,000 receipts and bills a month between them.
- Hubdoc. 25 client accounts at $12 a month is $300 a month, or $3,600 a year, if the per client rate reported for partners applies to all of them.
- ReceiptQBO. The Bookkeeper plan is $299 a month for up to 25 client companies and 2,500 documents pooled across them, or $149 a month billed yearly, which is $1,788 a year.
Month to month, the two cost about the same. Billed yearly, the flat plan costs roughly half. Below about a dozen clients the picture flips: ten Hubdoc clients cost $120 a month, and there is no ReceiptQBO practice plan that low. Be honest with yourself about where your practice sits.
Then add time. If the flat plan removes even ten minutes of fixing per client per month through rules, matching and automatic reminders, that is more than four hours a month at 25 clients. At $60 an hour, that is worth more than either subscription. The full plan list is on the ReceiptQBO pricing page.

Is Hubdoc worth the money for QuickBooks Online users?
Hubdoc is worth $12 a month for a single business that wants one place to collect receipts and bills and publish them to QuickBooks Online with the image attached. The price is low, there is no volume cap, and the trial is long enough to judge it fairly.
It is a harder call for a practice that runs many QuickBooks Online clients and wants coding to classes and projects, one review queue across every client and weekly missing receipt chasing built in. That is the profile that looks at a Hubdoc alternative built only for QuickBooks Online. If you are comparing Hubdoc with Dext as well, the Hubdoc vs Dext comparison for QuickBooks Online practices covers the workflow side, and the Dext pricing guide breaks down its per client and extraction charges the same way this page does.
One gap to plan for whichever tool you pick: receipt tools read receipts and bills, not PDF bank statements for accounts without a feed. For those clients, a separate tool to turn PDF bank statements into QuickBooks files fills the gap before matching starts.
How to run a fair one month test
Pick your messiest QuickBooks Online client, not your cleanest. Run that client through Hubdoc's 30 day trial and through any alternative you are considering for the same month. At close, count three numbers in each tool: items a person had to touch, receipts that posted twice or missed the bank match, and receipts still missing. Those three numbers tell you the real cost per month far better than the sticker price.
You can see how ReceiptQBO reads a receipt right now without an account. Upload one at the top of this page and you get the vendor, date, total and the QuickBooks Online account it would be coded to. For the practice side, the receipt scanner for bookkeepers page shows the client dashboard and review queue.

Questions about Hubdoc pricing
Is Hubdoc free with QuickBooks?
No. Hubdoc is owned by Xero, and third-party listings report it is included in select Xero business plans. QuickBooks Online users pay Hubdoc's own price, $12 a month per its US pricing page, after a 30 day trial.
Does Hubdoc charge per client?
For practices, third-party directories report that client accounts are billed at $12 per client per month while the practice account is free. Hubdoc does not publish a separate partner price list, so confirm the terms before you sign.
Is there a limit on documents in Hubdoc?
No. The Hubdoc plan lists unlimited usage, so the price stays the same whether a business sends ten documents a month or a thousand.
Is ReceiptQBO cheaper than Hubdoc?
For a QuickBooks Online practice with around 25 clients billed yearly, usually yes, at $149 a month against roughly $300. For a single business or a practice with only a few clients, Hubdoc at $12 per account costs less.
